This policy explains what personal information we collect when you use WebComforts, why we collect it, who we share it with, and the choices you have. It applies to www.webcomforts.com, our client dashboard, and our free and paid tools including Site Audit and Position Tracking.

Who We Are
WebComforts (SMC-Private) Limited (“WebComforts”, “we”, “us”) is a web design, development, hosting, and SEO company registered in Pakistan under Company No. 0182398. We are the data controller for the information described in this policy.
We work from three locations:

Information We Collect
We only collect what we need to run our services. Depending on how you use WebComforts, that may include:
- Account registration
- Your name, email address, password (stored hashed, never in plain text), and optional profile details when you create an account for our dashboard or tools.
- Enquiries and contact forms
- Your name, email address, phone number, chosen topic, and the content of your message when you contact us or request a quote.
- Site Audit and Position Tracking
- The website URLs, domains, keywords, competitor domains, and target countries you add to a project, plus the crawl and ranking results generated for them.
- Newsletter
- Your email address, subscription status, IP address, and the date you subscribed, if you sign up for our newsletter.
- Payment metadata
- Invoice references, plan, amount, currency, transaction status, and payment timestamps. Full card numbers never reach our servers — card details are entered directly with our payment providers.
- Technical and usage data
- IP address, browser and device type, pages viewed, referring URL, and timestamps, collected through server logs, cookies, and analytics.
How We Use Your Information
- To provide our services — build and host your website, run audits and rank checks, deliver SEO work, and keep your account working.
- To support you — answer enquiries, respond to tickets, and send service notices such as renewal reminders, downtime alerts, or security notifications.
- To handle billing — issue invoices, process subscriptions and renewals, and keep accounting records required under Pakistani law.
- To improve our products — understand which pages and tools are used so we can fix problems and prioritise improvements.
- To market with your consent — send our newsletter and occasional offers. Every email includes an unsubscribe link, and you can also unsubscribe at any time on our unsubscribe page.
- To protect the service — detect abuse, prevent fraud, and enforce our Terms and Conditions.
We do not use your data to make automated decisions that produce legal effects for you, and we do not build advertising profiles about you.
How We Share Information
We do not sell your personal data. We share it only with the service providers we need to operate, and only to the extent required.
- Payment processors
- Viva Wallet and Bank Alfalah process card and bank payments for our paid plans. They receive the details needed to take payment and return a transaction result to us.
- Email delivery
- SendGrid delivers our transactional and newsletter emails and receives the recipient address and message content.
- Hosting and infrastructure
- Our servers and backups are operated by our hosting provider, which stores the data our applications write.
- Analytics and security services
- Analytics and anti-spam services (such as Google Analytics and reCAPTCHA) receive limited technical data to measure traffic and block automated abuse.
- Legal and professional advisers
- We may disclose information where we are legally required to, or to establish or defend legal claims.
Data Retention
- Account and project data is kept while your account is active and for up to 12 months after closure, so you can reactivate without losing your history.
- Audit, crawl, and ranking data is kept for the life of the project and removed when you delete the project.
- Enquiry and support correspondence is kept for up to 24 months.
- Invoices and payment records are kept for at least 6 years to meet accounting and tax obligations in Pakistan.
- Newsletter records are kept until you unsubscribe, after which we keep a suppression record so we do not email you again by mistake.
When data is no longer needed, we delete it or irreversibly anonymise it.
Security
We protect your information with HTTPS across the site, hashed passwords, parameterised database queries, access controls that limit staff access to what their role needs, and regular backups. Payment card details are handled by our payment providers and are never stored on our systems.
No online service can promise perfect security. If a breach affects your personal data, we will investigate promptly and notify you and the relevant authorities where the law requires it.
Cookies and Analytics
Cookies are small files stored by your browser. We use them for:
- Essential cookies
- Keeping you signed in, holding your session, and protecting forms with CSRF tokens. The site cannot work without these.
- Preference cookies
- Remembering choices such as your selected country or saved filters inside our tools.
- Analytics cookies
- Measuring page views and tool usage in aggregate so we can improve what we build.
You can block or delete cookies in your browser settings. If you block essential cookies, sign-in and form submission will stop working.
Your Rights
You can ask us to:
- Give you a copy of the personal data we hold about you.
- Correct anything that is inaccurate or out of date.
- Delete your data where we no longer need it for a service or legal obligation.
- Stop using your data for marketing — this takes effect immediately.
- Export your project data in a portable format.
Email support@webcomforts.com with your request and we will respond within 30 days. We may ask you to confirm your identity before we act on a request.
Children’s Privacy
Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has given us their details, contact us and we will delete the data.
International Transfers
We operate from Pakistan, the United Kingdom, and Australia, and some of our providers process data in other countries. Where personal data moves outside the country it was collected in, we rely on the provider’s contractual safeguards and use only providers with an established security and privacy track record.
Changes to This Policy
We update this policy when our services or legal obligations change. The revision date at the top of the page always shows the current version. If a change materially affects how we use your data, we will let account holders know by email.
